SharePoint phone integration
Every call summary and transcript filed to your Microsoft 365 library
For law firms that keep their files in Microsoft 365, EzyBiz Lex writes every call's summary and transcript as a Word document in your SharePoint library, organised under the contact and governed by your tenant's own permissions and retention rules. It works on its own, or alongside Smokeball or Clio.
- AnswersTakes the calls you can't, in your firm's name, with your services, hours and rules.
- WritesA Word document for every call, with the summary at the top and the transcript beneath it.
- OrganisesA folder for each contact, with columns you can sort, filter and group in SharePoint.
What lands in SharePoint
Every call is written to your library as soon as its summary is ready, whether you took the call or the answering service did.
A Word document per call
Each call becomes a .docx with the summary at the top and the full transcript beneath it, named by date, contact and call ID so the folder sorts itself.
In a folder you choose
When you connect, an EzyBiz Transcripts folder is created in your document library, and you can point EzyBiz Lex at any other folder, or at OneDrive, later from the app.
Columns you can filter
Contact, phone number, direction, duration, sentiment and service interest are added as library columns, so you can sort, filter and group calls in SharePoint the way you would any other list.
Findable with everything else
Because the documents live in your tenant, they appear in Microsoft Search and Copilot alongside the rest of the firm's files, with the permissions you already set.
Reliable by design
Failed uploads retry until they land, and a call is never written twice, so the library stays complete without anyone checking it.
What you see before the call, and what is in your library after it
Priya Sharma called about the interim hearing date and whether the affidavit needs to be filed before it. Message taken. She would like a call back this afternoon on her mobile. No advice was given.
Organised the way your firm already files
Choose how calls are grouped when you connect, and change it whenever you like.
The default. Every contact has their own folder, so a client's calls sit together and are easy to hand to whoever picks up the file.
A folder for each contact with a subfolder for each month, for clients who call often.
One folder per month for the whole firm, useful when the library is reviewed by period.
Every call in a single folder, left to the library columns to sort and filter.
Connected once, for the whole firm
Sign in with Microsoft
An administrator connects SharePoint from Settings in the app with a Microsoft work account and approves access to SharePoint sites. The EzyBiz Transcripts folder is created for you.
Choose the folder and the calls
Keep the default folder or pick another, choose how calls are grouped, and decide which calls are written: inbound, outbound, a minimum length, and whether unknown callers are included.
Point your calls at EzyBiz Lex
Forward your existing number on no answer, or take a new Australian number. Numbers and porting covers both.
Open the first document
Make a test call, let the answering service take it, and open the contact's folder in SharePoint to see the summary and the transcript.
Three ways to take the day's calls
Whichever way a call is taken, it is filed the same way, so the matter tells the whole story whether you spoke to the client or the answering service did.
Available
Your phone rings as normal, with the caller's matter on screen before you answer. After you hang up, the call is written up and filed.
Screen
The answering service picks up first, finds out who is calling and why, and puts genuine callers through to you with a one-line summary.
Unavailable
In court, in a meeting or finished for the day, the service answers in your firm's name, books the consult or takes the message, and files the call.
SharePoint questions
No. SharePoint filing works on its own for firms that keep their files in Microsoft 365, and it can also run alongside Smokeball or Clio if you want a copy of every call in your library as well.
The documents live in your own Microsoft 365 tenant, so the site and folder permissions you already have decide who can open them, and your retention policies apply to them like any other file.
No. Calls are transcribed, not kept as audio you replay. What lands in SharePoint is the summary and the transcript as a Word document.
An administrator signs in with a Microsoft work account and approves access to SharePoint sites. EzyBiz Lex uses it to create the folder, add the library columns and upload the documents.
Yes. You can include inbound calls, outbound calls or both, set a minimum call length, and skip callers who are not in your contacts.
Yes. The folder can be in a SharePoint document library or in the connecting user's OneDrive, and you can move it to another folder later from the app.
