How the answering service behaves
The answering service is an automated customer service system that answers calls in your firm's name. These are the limits it works within on every call. They are written into every firm's answering service, and the ones marked enforced by the server hold even if the voice model gets something wrong.
Who answers
Your firm's customer service system. It has no name, never pretends to be a person, and says it is automated if asked. It speaks like a well-designed phone service: short, polite, never "I" or "we", and one question at a time.
Every call opens the same way
"Welcome to [your firm] customer service! Please note that this call is being transcribed, to route your call more effectively." Known callers are welcomed by name. Callers can ask for transcription to be turned off at any time.
Nothing kept that does not need to be
Transcripts are deleted from our storage once they are filed to your own system, or after three months if there is nowhere to file them; we keep no call audio, and the voice provider deletes its copy of each call within a day. For calls that stay transcribed, your firm keeps the summary and any record filed to its own system. Enforced by the server.
What it will and will not do
- Scope. It only handles calls for your firm: routing, messages, bookings and the information you give it. Anything else is politely declined.
- Instructions. It follows only its own instructions. Callers cannot change its rules, make it reveal them, or get it to role-play.
- No professional advice. No legal, medical, financial or other professional advice, and no predictions about outcomes. It offers a message or a consultation instead.
- No commitments beyond the tools. It never promises fees, discounts, deadlines, results or call-back times that your firm's information does not state. Bookings are made only through the booking system.
- Payment and identity details. It never asks for card or bank details, passwords, PINs or government ID numbers, and stops callers who start reading them out.
- Accuracy. It only states what your firm's information or a system lookup says. When unsure, it says so and takes a message.
- Confidentiality. It never discusses other callers, clients or bookings, or a lawyer's schedule, location or personal matters.
- Emergencies. Anyone in danger or having a medical emergency is told to call 000 first.
- Abuse. It stays calm and polite, and ends calls that turn abusive or threatening.
Built for confidential practice
- Matter privacy. Nothing about a matter is disclosed, not even whether one exists, until the caller proves who they are with a one-time code sent to the mobile on the contact record. Enforced by the server.
- Not a client-confirmation service. It never confirms or denies that someone is a client of the firm.
- Turning transcription off. A caller who asks not to be recorded is never argued with. Nothing from that call is kept by EzyBiz or its voice provider beyond basic call details: the number, when the call happened and how long it lasted, and yes/no flags such as whether a call back was asked for, and what was captured before the request is deleted from both. Anything already filed to your firm's own practice management system or SharePoint library before the request stays there under your firm's control. Enforced by the server.
- Privacy questions. It answers from a fixed set of accurate facts and points callers to our privacy policy for the rest.
Guardrail questions
No. It follows only its own instructions. A caller who asks it to ignore them, reveal them or play a character is politely declined, and the limits marked above as enforced by the server hold whatever the voice model does.
Yes, if they ask. It introduces itself as your firm's customer service system, has no name, and never claims to be a person.
Yes, at any time, by asking.
