Whichever way a call is taken, the record is the same, so the matter tells the whole story whether the lawyer spoke to the client or the answering service did.
Gives each lawyer a business number
A dedicated Australian number, or port the one you have, or change nothing and forward on no answer. The caller's matter and your last note are on screen before you pick up.
Answers in the firm's name when you cannot
In court, in a meeting or finished for the day, the service answers, tells the caller it is automated and transcribing, takes a legal intake or a message, and books the consult if you allow bookings. It never gives advice and never pretends to be a person.
Works in three modes you switch in a tap
Available rings your phone as normal. Screen has the service find out who is calling and why, then puts genuine callers through with a one-line summary. Unavailable has the service take every call.
Writes the summary and transcript
Every call becomes a file note, a summary and a transcript, ready in the app shortly after it ends, with any close date on the first line. Calls a lawyer answered are written up too, so a call taken on a mobile between hearings is still on the file.
Files the record to the matter
A completed task on the Smokeball matter with a memo or Word document beside it, or a Word document in your SharePoint library under the contact. Clio filing is in development. Texts with a client are logged to their matter as well.
Lays out the day
Callback tasks and consult bookings land in the practice management system's tasks and calendar and in the app's Agenda tab. Replies to texts are drafted for the lawyer to send, never sent on their own.
How the Smokeball integration works
Smokeball is the integration most firms ask about. It is live, listed on the Smokeball marketplace, and connected once for the whole firm by an owner or manager.
Every call is filed as a completed task on the Smokeball matter, with the file note as its body and a memo, or a Word document in an EzyBiz Calls folder, holding the full note and transcript. A call the service cannot match to a single open matter waits in the app for one tap rather than being filed to a guess.
Contacts sync from Smokeball so caller ID works from the first call. A message taken or a call back requested becomes an open task on the matter for the lawyer responsible, synced both ways, and a consult the service books appears in the lawyer's Smokeball calendar.
When leads are turned on, a new caller with a new matter becomes a Smokeball contact and a lead matter of the type you choose, with the call already filed to it. Withheld numbers, outbound calls and spam never create one.
Off until the firm turns it on. Then the duration of a call a lawyer handled goes on the task for AutoTime, or a fee is written straight to the matter. Calls the answering service took on its own are never billed.

Three things EzyBiz LEX does not do
It does not give legal advice or check conflicts
It collects what the firm needs to run its own conflict check and tells a caller when a question is one for the lawyer. The other side gets a message taken and nothing confirmed, not even whether the firm acts.
It does not pretend to be a person
It says it is automated, tells every caller the call is transcribed, and never uses a human name. What it replaces is the voicemail box, not the receptionist a firm already has.
It does not keep recordings
Calls are transcribed, not kept as audio. Transcripts are deleted from our storage once they are filed to the firm's system, or after three months when there is nowhere to file them, and the caller can ask for transcription to stop at any time.

It is automated, and it says so. It introduces itself as the firm's customer service system, tells every caller at the start that the call is transcribed, never uses a human name, and tells anyone who asks that it is automated. In Screen mode a caller who needs a person is put through to the lawyer, and in every mode a caller can leave a message and be called back.
Never. It collects the caller's details, the other party's name and the kind of matter so the firm can run its own conflict check, and it tells a caller plainly when a question is one for the lawyer. What is said to the other side is the lawyer's decision, made from the file.
Avocado Pty Ltd, a small software company in Melbourne run by its founder, Sunil Chand. Summaries, messages and contact records are stored in Australian data centres under the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Transcripts are kept only until they are filed to the firm's own system, or for three months when there is nowhere to file them. Support is a person in Australia.
