A conveyancing practice spends a large part of its day on the phone without the work moving forward. The buyer wants to know whether finance has come through, the agent wants a settlement time, the broker wants the discharge authority, and the other side wants to book a date. Each of those calls interrupts someone, and each should leave a note on the file. The phone is also where settlement fraud now reaches firms: scammers pose as clients or agents, ring with convincing detail, and ask for money to be sent to a new account.

Mostly status questions: has finance been approved, is settlement booked, what do I need to sign. A known client is greeted by name, and with verified matter conversations turned on they can hear the answer after entering a one-time code. Otherwise the question becomes a call back task on the matter.

Settlement times, deposit releases and keys. The service takes the agent's name, agency and question, files it to the matter they name, and creates a call back task for the person responsible.

Brokers and lenders

Discharge authorities, payout figures and booking requests. Taken as a message and filed, because figures and account details are never given or taken on the call.

The other side's conveyancer

Taken as a message with who they act for and what they need. The service confirms nothing about the matter to them, and the reply is yours to make from the file.

New enquiries

Someone about to sign a contract, often ringing around for a quote. The service takes the property, the timing and the best number, and books a call back or a consult if you allow bookings. In Smokeball the enquiry opens as a lead with the call on it.

It never takes or gives account details

The service never asks for card or bank details, passwords, PINs or government ID numbers, and it stops callers who start reading them out. It never states a figure or an account that a system lookup has not given it, and amounts owing are never disclosed.

A change request becomes a message, not an action

A caller who wants to send funds somewhere new, or says the account has changed, is taken as a message and filed to the matter. The change is then confirmed by a person, on a number already on the file, which is what the Victorian Legal Services Board advises: check any change to payment instructions with the client directly, and do not rely on email.

A convincing voice is not proof

Banks now warn that scammers use voice cloning and detailed personal information about the parties. A caller who sounds like your client, and knows the property and the settlement date, still gets nothing about the matter until they have proved they hold the mobile on the contact record with a one-time code, and even then never an amount or an account.

Every request is on the file

The summary and transcript of each call are filed to the matter, so if a payment instruction is ever questioned, the firm can see who rang, when and what they asked for.
