How each integration works
EzyBiz Lex connects to your practice management system once, for the whole firm. From then on the caller's matter is on your screen before you answer, and after the call the summary, the transcript and a finished file note are on the matter without anyone typing them.
What happens on every call
The same pipeline runs for every destination. The differences are only in where the record lands.
Contacts sync once, then stay in step
Your contacts are imported when you connect and kept current by the provider's own change notifications, so caller ID and matter lookup work from the first call.
The matter is on screen before you answer
The incoming call shows the contact, the matter they belong to and the last note, read from the record EzyBiz Lex already holds. Nothing is looked up live while the phone is ringing.
The call is written up within a minute
When the caller hangs up, the transcript is finalised and the summary written. The file note covers what the caller wanted, the outcome, any booking, and what was said about follow-up.
The matter is resolved, not guessed
The contact's default matter is used if there is one, otherwise the contact's single open matter. Two or more open matters is ambiguous, and a wrong guess files privileged material to the wrong client, so the call waits in a queue in the app for someone to pick. That pick can become the default for next time.
The record files itself
Filing is done by the server the moment the summary is ready, because on most calls there is no lawyer at a screen. Failed writes retry automatically, and nothing is ever filed twice.
Smokeball Coming soon
Contacts sync instantly. The matter shows on the incoming call. After the call, a completed task is created on the matter with the file note, and by firm-wide setting the full note and transcript are also written as a memo, or rendered as a document into an EzyBiz Calls folder on the matter. Text messages are logged against the matter as one record per contact per day. New callers making a new enquiry can be created as leads.
Time capture is off until the firm turns it on. When it is on, the lawyer's part of a call is recorded as a task duration for AutoTime, or as a direct fee rounded up to the firm's billing increment. The answering service's minutes never reach AutoTime or a time entry.
EzyBiz Lex is being listed on the Smokeball marketplace. Founding pilot firms are connected with the founder during setup.
Clio Coming soon
The same record, filed to the Clio matter. Each call becomes a phone communication on the matter's and the contact's Communications tab, carrying the file note with the transcript underneath, plus a note and, by setting, a document. Contacts sync both ways and SMS sits on the matter timeline. Suggested and default matters mean a call is never filed to the wrong place.
Clio has no AutoTime, so when time capture is on EzyBiz Lex writes the time entry directly, for the lawyer's part of the call only, against the firm's phone-call activity description. Matters that require UTBMS codes skip the entry unless one is configured.

Integration questions
Which practice management systems does EzyBiz Lex file to?
Smokeball and Clio, with SharePoint for firms on Microsoft 365 without a practice management system, or alongside one. LEAP is not supported; summaries and transcripts still arrive in the app and by push notification.
Does every lawyer need to connect their own account?
No. An owner or manager connects once for the whole firm. A staff map lets tasks and time land on the right lawyer.
What happens when the caller has two open matters?
The call is not filed to a guess. It waits in a queue in the app, badged as needing a matter. One tap files it and can set that matter as the contact's default so the next call files itself.
Does the answering service's time get billed?
No. Time capture is off until the firm turns it on, and it records the lawyer's part of a call only. An AI-handled call files with no duration and no time entry.
Can the AI receptionist tell a caller about their matter?
By default it does not discuss matters at all. A firm can turn on verified matter conversations, which discloses a narrow set of details only after the caller has proven possession of the mobile on the contact record with a one-time code.
